General Position Summary
Provide administrative/analytical support for current staffing level:
Products Group: 1 Vice President, Sourcing; 6 Product Managers; 1 Team Leader 6 Product Coordinators;
Technical Department 1 Vice President, Technical; 2 Technical Managers 2 technical coordinators
Essential Job Functions
1. Development and maintenance of Product Management tools - Price Guide; Presentations, Supplier Correspondence, Target Account Database, Supplier Contract Files
2. Hopper Car Reporting and Maintenance
3. Receive and log samples; enter and maintenance lab requests. (Technical)
4. Back-up support for certifications and regulatory requests (Technical)
5. Development and Maintenance of Commercial Reports
6. Coordination and Planning of meetings, agendas, itineraries, orientation of new Products and Technical employees, special events
7. Expense reports - coordinate management approvals, scan/consolidate receipts
8. Assist in yearly Departmental Budgeting Process
9. Maintain Product and Technical specific ISO forms and requirements including the annual supplier performance survey.
10. Assist Product Management and Product Group Team Leader with the annual review process
11. Vacation/PTO tracking and calendar management
12. Additional administrative tasks - coordinating check requests, mailing promotional items, proofreading/re-formatting documents; mail distribution
Required Knowledge, Skills, Abilities
1. Expert Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Access)
2. Excellent organization, prioritization, communication and multi-tasking skills - attention to detail and follow up are critical
3. Positive, friendly attitude. Self-motivated with strong work ethic
4. Dependable, reliable and dedicated to professionalism
5. Flexibility (commitment to complete tasks by the deadline even if it means working through lunch or coming in early/staying late)
6. Ability to work independently as well as part of a team

Desired Education and Experience
Minimum of 2 years of administrative assistant experience preferred; Proven success in support roles required. Technical interest or aptitude desirable. Undergraduate degree preferable

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
